Administrative Assistant - Hawthorne CAT (Guam)
Overview
POSITION SUMMARY: The Administration Assistant provides administrative support to the Accounting and Credit Coordinator, Operations Manager and Regional Manager including the handling of office administration, travel arrangements, company property and maintenance contracts, and confidential information while ensuring exceptional customer service to all external and internal customers.
Responsibilities
ESSENTIAL FUNCTIONS:
+ Responds to telephone calls, emails and other communications, disseminates communications & mailings and prepares communications and mailings as required.
+ Maintains phone rosters, organizational charts, branch bulletin board and employment records.
+ Orders business cards, office supplies, uniforms, Company ID cards, etc.
+ Assists with and coordinates branch travel as necessary.
+ Coordinates upkeep of vehicle titles and registrations with department managers.
+ Schedules monthly maintenance services for ongoing service contracts. Coordinates special services as required.
+ Attends and provides meeting minutes for customer, staff and departmental meetings.
+ Maintains files and record keeping, prepares and files documents, AP & AR documents, service records and miscellaneous documents.
+ Completes all other duties as assigned by management.
Qualifications
EDUCATION, EXPERIENCE, AND SKILLS REQUIRED:
+ Must have a high school diploma or GED equivalent required.
+ Two year college degree preferred.
+ Must have minimum of (2) years of relevant experience and/or training or equivalent combination of education and experience.
+ Possess strong organizational skills with ability to multi-task.
+ Excellent verbal and written communication skills and exceptional interpersonal communication skills.
+ Must be able to maintain confidentiality and high integrity.
+ Ability to work independently on assigned tasks as well as accept direction of given assignments.
+ Proficient in Microsoft Office Suite.
TESTING REQUIREMENTS: Applicants may be required to pass a written and/or oral examination before being considered for employment in this position.
PHYSICAL DEMANDS:
+ Walking and moving about on foot often up and down stairs.
+ Handling: Seizes, helps or works with hands.
+ Lifting: Carries, raises or lowers miscellaneous paperwork, files, laptop, manuals, etc.
+ Reaching: Extends hands and arms in any direction.
+ Stooping: Bends body downward and forward by bending at knees or waist
+ Standing: Remains in standing position If required to perform various functions of the job.
+ Vision: Read paperwork, employment files and records on the computer.
+ Talking: Communications by phone and in person.
+ Sitting: Sits at desk. Sits for long periods of time.
ENVIRONMENTAL:
+ Noise: Works in conditions with constant or intermittent noise.
+ Temp/Weather: Works in an office environment.
